Privacy Policy
How we collect, use, and protect your personal data.
Last updated: 17 September 2026
1. Who we are
We are EXO Storage Limited (company number 13234356), whose registered office is at C/O Azets Holdings Ltd, Bulman House, Regent Centre, Newcastle upon Tyne, NE3 3LS. We are responsible for the personal information we hold about you. This policy applies to our customers, people who contact us for a quote, visitors to our storage site and visitors to our website.
2. What information we collect
- Contact and identity details, such as your name, address, email, phone number, photo ID and proof of address.
- Details about your storage, such as the space you rent, payments, correspondence and vehicle details.
- Site security information, including CCTV footage and records of when access fobs are used.
- Website cookies: see section 8.
You pay us directly through our third-party payment providers, who collect and hold your card or bank details under their own privacy policies. We do not receive or store your full card or bank details, only confirmation of the payments you make.
Most of this comes directly from you. Occasionally we receive information from others, such as debt recovery agents or vehicle finance check providers if you owe us money.
3. How we use your information
The law requires us to have a valid reason for using your information. We use it for the following purposes:
| What we use it for | Our legal reason |
|---|---|
| Answering enquiries, setting up and running your storage agreement, taking payments and contacting you | Performing our contract with you (or taking steps you request before entering into one) |
| Keeping our site and customers’ belongings secure, including CCTV, access records and ID checks | Our legitimate interest in security and preventing crime |
| Recovering unpaid fees, acting under our terms and conditions and dealing with claims | Performing our contract with you, and our legitimate interest in protecting our business |
| Keeping tax and accounting records and helping the police where required | Complying with the law |
| Using cookies on our website | Our legitimate interest for essential cookies, and your consent for all other cookies |
We need your contact and identity details to rent you a space. We do not sell your information and we do not send marketing emails.
4. Who we share your information with
We only share your information where needed, with:
- service providers who help us run our business, such as payment providers, accounting and management software, IT and cloud storage providers, and our CCTV and access control contractors;
- our professional advisers and insurers;
- debt recovery agents and finance companies, if you owe us money;
- the police, courts or other authorities, where the law requires it or to help prevent crime; and
- anyone who buys or takes over our business.
Our information is stored in the UK. Some of our service providers may process information outside the UK. Where they do, we make sure appropriate safeguards are in place.
5. How long we keep your information
We keep customer, agreement and payment records for 6 years after your agreement ends, for tax purposes and in case of legal claims. CCTV footage is normally kept for 30 days unless it is needed to investigate an incident or claim. Everything else is kept only for as long as we need it for the reason we collected it, and is then securely deleted.
6. Keeping your information safe and CCTV
We take appropriate steps to keep your information secure and only allow authorised staff to access it. CCTV covers the whole site, including the entrance, and signs show where it is in use. If you would like a copy of footage showing you, contact us with the date and approximate time.
7. Your rights
You have the right to ask us to give you a copy of your information, correct it, delete it or limit how we use it, to object to how we use it, and to have it transferred to another organisation. Some of these rights have limits, for example where we need to keep records for tax purposes. There is normally no charge, and we will respond within one month.
8. Cookies
Our website uses essential cookies so that it works properly. Our cookie banner lets you choose whether to accept any other cookies, and our cookie policy on the website gives full details.
9. Complaints
If you are unhappy with how we have handled your information, please contact us first. We will acknowledge your complaint within 30 days and let you know the outcome. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
